The Administrative Assistant will record, transcribe and distribute meeting minutes. Distribute mail to the appropriate person (s) or program by retrieving and sorting incoming mail, preparing outgoing mail and sending it to correct destination. Operate office equipment normally used in routine daily work (e.g., computer, fax/copy, printers, telephone/voice mail system). Provide administrative support for designated staff committees, special assignments, and quality assurance activities for Vocational Services. Greet and instruct clients on how to receive services by asking them relevant questions (e.g., name, assistance required) in order to determine their needs and services required. Explain new client intake forms and instruct clients how to complete information and any special instructions regarding their insurance coverage. Provide back up to Customer Services Representative in answering, screening and routing telephone calls by assessing the needs of the caller in order to process requests, referrals and inquiries to appropriate person(s) or programs. Conduct administrative intakes on new admissions and submit all necessary information including paper and computer data to the proper location. Maintain and coordinate appointments (including daily sick call sheets) by recording appointment times, providing clients with appointment cards, notifying staff of cancellations / rescheduling and making appointment reminder calls. Accurately and efficiently complete typing of correspondence, dictation, minutes, legal documents and other materials required by the program staff. Comply with information requests (e.g., charts and files), written or verbal, following all rules and regulations regarding confidentiality. Ensure compliance with legal, regulatory, accrediting agencies pursuant to storage and retrieval of medical records.
